Privacy Policy

W One ("we", "us") makes a job management app for trades and small businesses. It helps you run jobs, tasks, expenses, invoices and your team's hours. This policy explains what information we collect, why, who we share it with, and the choices you have. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
1. Information we collect
Account information. Your name, email address, phone number (if you add it), password (kept only in a protected, hashed form by our sign-in provider), and your role in your company. If you sign in with Google, we receive your name and email address from Google.
Business information you enter. Your business name, ABN, address, GST and invoice settings, and bank details you choose to show on invoices.
Job and customer information. Jobs, site addresses, tasks, issues, notes, expenses, receipts and photos, and your customers' names, phone numbers, email addresses and ABNs. You are responsible for having the right to enter your customers' information.
Time and pay information. Clock on and off times, and hourly wages and weekly hours that an owner sets for team members.
Payment information. Subscription payments are handled by Stripe. We never see or store your full card number. We keep your subscription status and Stripe's customer reference.
Location (optional). If you switch it on, your device location is used to show local weather. We don't store it.
Technical information. Basic logs such as your IP address and browser or device type, used to keep the service secure and working.
2. How we use it
- To provide the app: sign you in, store your jobs and invoices, calculate totals and hours, and show your team's information.
- To send emails you ask for, such as invoices sent to your customers, sign-up confirmations and password resets.
- To take payment for your subscription and manage your plan.
- To keep the service secure, prevent misuse and fix problems.
- To contact you about the service, such as changes to these terms or your subscription.
We don't sell your personal information, and we don't use it for advertising.
3. Who we share it with
We use trusted providers to run the service. They handle information only to provide their service to us:

Inside your company, information is shared according to roles. Workers can't see invoices or other people's wages. Only owners and managers can see invoices and revenue, and only the owner can see everyone's wages.
Some of these providers may process information outside Australia. We only use providers that protect information to a standard comparable to Australian law.
We may disclose information if the law requires it.
4. Storage and security
Your information is stored in our Supabase project. It is encrypted in transit, and access is restricted so that each company can only see its own data. No system is perfectly secure, so please use a strong password and keep it private.
5. How long we keep it
We keep your information while your account is open. If you ask us to delete your account, we delete or de-identify your personal information, except where we must keep it for legal or tax reasons.
6. Your choices and rights
- You can ask to access or correct the personal information we hold about you.
- You can ask us to delete your account and information.
- You can turn location off in your device settings at any time.
- You can cancel your subscription in the app under Settings.
To make a request, email us at the address below. We'll respond within a reasonable time. If you're unhappy with how we've handled a privacy matter, contact us first, and you may also complain to the Office of the Australian Information Commissioner (oaic.gov.au).
7. Children
W One is for businesses and isn't intended for people under 16.
8. Changes to this policy
We may update this policy. The effective date above shows the latest version. If we make a significant change we'll tell you in the app or by email.
